Which date is yours
If you want to present
15 October 2026 is the date that matters. It is the last point at which an abstract enters review for this conference; anything arriving afterwards is held for the next meeting rather than fitted in.
Send it earlier if you can. Decisions return within two days, and an acceptance in hand makes everything downstream easier — flights at a sensible price, study leave requested against a confirmed slot, and time to prepare properly rather than assembling slides in the last fortnight.
If you are attending without presenting
20 November 2026 is the final cut-off, but it is the on-the-day one rather than a target. The earlier rounds, closed on 30 May and 31 July, were priced lower. Booking late costs more and gives catering and badge numbers less notice.
If an institution is paying
Work backwards from their process rather than from ours. Purchase orders, study-leave approval and finance sign-off routinely take four to six weeks. Register first and let the invoice follow — a confirmed place is considerably easier to get approved than a proposal.
If you need a visa
Begin as soon as payment clears. We issue letters of invitation on request, but appointment waits vary enormously by country and neither we nor the venue can influence a decision. Where an application is refused, send the official notice and the refund schedule applies from the date you notify us.
If a date moves
Deadlines are occasionally extended when a round is undersubscribed, and any change is published here and emailed to registered delegates. They are never brought forward. A date on this page will not get shorter.
