Getting a useful answer
What to include when you write
Most messages are answered the same working day. The ones that take longer are the ones where we have to write back asking who you are and what you booked. A few details in the first message avoids that entirely.
About a registration
Give the email address you registered with and the name on the booking. For a payment question, the invoice number helps. If an institution is paying, tell us the billing entity and whether a purchase order number has to appear on the invoice
About an abstract
Give the title and the date you submitted. Decisions go out within two days, so if it has been longer the usual cause is a submission that did not complete — almost always a large file that failed to upload. We can check either way.
About a visa letter
Letters are issued once payment clears. Send your full name exactly as it appears in your passport, the passport number, your institution and the consulate you are applying through.
About sponsorship
Tell us the organisation and roughly what you want out of the two days — a stand, a speaking slot or brand presence. That gets you the relevant package rather than the entire prospectus
Response times
The secretariat works Monday to Saturday, 10:00 to 19:00 India Standard Time, which runs ahead of both the US and Europe. A message sent during a North American afternoon is usually answered by the following morning your time. In the fortnight before the conference the volume rises; anything urgent in that window is better sent by WhatsApp than email.
